Refund and Returns Policy
How ClearCycle handles auction refunds, vendor sale issues, missed collections and post-sale cancellations.

1. Policy overview
This policy explains how refunds, cancellations, returns, chargebacks and sale issues are handled for ClearCycle auction lots, approved vendor auction lots, managed sales and Trade Deal Desk transactions.
Nothing in this policy removes rights that cannot legally be excluded, including statutory rights for consumers where they apply.
2. Auction lots are different from ordinary retail purchases
Auction lots may be customer returns, graded stock, clearance goods, liquidation stock, overstock, BER items, salvage, spares or items sold with condition notes. Buyers must read the lot description, photographs, event information, condition notes and collection/delivery terms before bidding.
We do not normally offer change-of-mind returns for auction purchases unless required by law or expressly stated in the event or lot terms.
3. When a refund may be considered
- The lot is materially different from the description in a way that affects the sale.
- The wrong item has been supplied.
- The lot is unavailable after payment.
- A material fault was not disclosed where it should reasonably have been disclosed.
- A refund is required by law or agreed by ClearCycle in writing.
4. When a refund is unlikely
- The buyer changes their mind after bidding or payment.
- The buyer did not read the description, condition grade, photos, event terms or collection instructions.
- The lot was clearly described as BER, salvage, spares, untested, incomplete, damaged, customer return or sold as seen.
- The buyer fails to collect within the stated collection period.
- The issue relates to normal wear, cosmetic condition or expected risk for the grade advertised.
5. Approved vendor auctions
Where a lot is sold by an approved vendor, the vendor may provide event-specific payment, collection, delivery and terms of sale. ClearCycle platform rules still apply, but vendor-provided information may determine how fulfilment, collection deadlines and local arrangements work.
If a vendor lot is unavailable, materially misdescribed or otherwise affected by a vendor-caused issue, ClearCycle may cancel the sale, refund the buyer and recover the relevant loss, fees, buyer premium, administration cost or chargeback from the vendor in accordance with the vendor agreement.
6. Buyer premium and fees
Buyer premium is charged as part of auction purchases. If a sale is cancelled or refunded in full because of a valid issue, the buyer premium may also be refunded where appropriate. If only part of an order is affected, any refund may be limited to the affected lot and associated charges.
7. Post-sale payment period and non-payment
After an event ends, unpaid lots enter the post-sale period. Buyers are expected to pay within the stated payment window, normally four days unless ClearCycle agrees otherwise. If payment is not received, ClearCycle may cancel the unpaid sale, restrict the buyer account and move the lot into relotting or another recovery process.
8. Collections, missed collections and abandoned goods
Collection and delivery instructions are set at event or lot level. Buyers must collect within the stated timescale or arrange delivery where offered. If a buyer fails to collect, ClearCycle or the vendor may apply storage, cancellation, relotting or abandonment procedures where reasonable and lawful.
9. How to request help
Contact us as soon as possible with your order number, lot number, photos, a description of the issue and any collection/delivery information. Do not dispose of, repair, dismantle or alter goods before we have had a reasonable chance to review the issue.
10. Chargebacks and payment reversals
If a buyer raises a chargeback or payment reversal, ClearCycle may provide order, bidding, account, collection, delivery and communication evidence to the payment provider. Buyer accounts may be restricted while a chargeback or payment dispute is unresolved.
11. Trade Deal Desk and private deals
Trade Deal Desk opportunities are broker-led and may be subject to separate offer terms, payment terms, inspection rights, collection arrangements and written agreement. Refunds or cancellations for private deals will depend on the agreed deal terms and applicable law.
